Trips

Trips continue to play an important part in educating and developing students here at Calthorpe Park School, but as the school continues to grow, so too does the demand for places. The school’s priority is to ensure fairness of opportunity. However, with in excess of 300 students in most year groups, it is not always possible for every trip to accommodate every student. Therefore, we aim to offer multiple opportunities throughout a student’s time with us.

Trip Cycles

The school operates six planned Trip Cycles each year, one per half-term. Most trips will ‘launch’ during one of these six cycles. Please see the diagrammatic representation of a sequence of events and dates below by clicking here.

How to Apply

All trips related information including the prompt to apply emails are now sent via EVOLVE (school trips management system) administered by Hampshire County Council. Please ensure that you add evolve.notifications@edufocus.co.uk to your safe senders list.

To apply for a place on a trip:

  • If your child is eligible to apply for a trip, you will receive an email prompt on Tuesday at the start of the half term (Dates can be viewed here)
  • Please read all the information in the email carefully.
  • Log in to ScoPay, complete the application form, and make the required payment.
  • You will be notified whether your application has been successful after a two‑week internal review window.

Parents can register for a myEVOLVE account/app, which allows them to easily view all upcoming trips their child has signed up for and access any related information.

Please note that parents who choose not to create an account will still receive all trip communication and will still be able to apply for a place on any trip.

The Place Management Procedure provides parents with greater clarity regarding the organisation of trips at Calthorpe Park School, as well as the implications and commitments associated with applying for a place.

Medical Statement of Consent

Prior to making an application or registering for a place on a trip, parents/carers are asked to read the Medical Statement of Consent.

School Journey and Travel Cover

Parents are advised to review the Hampshire School Travel Insurance thoroughly to ensure a full understanding of the scope of cover, including any exclusions, conditions, or obligations that may apply.

General Travel Advice

Travel Abroad
The school will monitor the latest travel advice, including any destination country’s entry restrictions and/or requirements which may change with little warning, and will notify parents of the latest updates. Parents are also advised to check the destination country’s Entry Requirements and Travel Abroad sections on the government website https://www.gov.uk/.

Required Travel Documents
A British Citizen’s Passport must be issued less than 10 years before entering the EU country and valid for at least 3 months after the day intended to leave. Other none – EU nationals might require a visa or proof of UK residency.  
Information about travel documents required for non-EU nationals can be found on the European Commission website, including a list of the countries whose nationals are exempt from visa requirements for stays of 90 days or less.

eVisas
The UK Government is replacing physical immigration documents with eVisas, a digital proof of immigration status. Parents and guardians of children who are not British or Irish citizens, and whose children have either a biometric residence permit (BRP) card expiring on 31 December 2024, or a passport with an indefinite leave to remain ink stamp or vignette sticker, should take action to access their eVisa, and do so on behalf of their children too.

GHIC & EHIC
